Getting started

What happens when I sign up?
You create your account, name your business and tell us what kind of work you do. Rexli sets up a workspace suggested for that work, on a 14-day trial with Growth limits: 20 active clients and 5 team members. No card is required.
What should I do first?
Add your first client, then do one real piece of work for them: schedule something, assign a task, or send a form. Your dashboard shows a short setup checklist that tracks real work, not dummy steps.
How do I invite my team?
Open Team in the sidebar and invite by email. Owners and admins can manage clients, billing and settings; members work on the clients assigned to them.

Clients & the portal

How do clients get access?
Open a client, then use Portal access to invite their contacts by email. They receive a login and see only that client's own work, approvals, files, forms, messages and reports.
Can clients see our internal notes?
No. Internal notes, internal conversations and internal tasks are never exposed to portal users. The database itself filters them out, not just the interface.
Do portal users count toward my plan?
No. Client portal users are unlimited on every plan. Only active clients and your own team members count.

Plans & billing

What happens when my trial ends?
If you haven't subscribed, the workspace becomes read-only. Nothing is deleted, and choosing a plan on the Billing page restores full access immediately.
Do archived clients count toward my limit?
No. Archiving a client frees a slot while keeping all of their history.
Can I switch plans?
Yes, at any time from Billing. Downgrades are blocked while your current usage exceeds the smaller plan's limits, so archive clients or remove seats first.
How does annual billing work?
Annual plans are priced at ten months, so you get two months free compared with paying monthly.

Your work & approvals

How does client approval work?
Send work for client review, the client approves or requests changes with comments, and their feedback lands back on the item. Editing something after approval invalidates that approval, so nothing goes out unreviewed.
Where do uploaded files live?
In your private workspace library, organized by client. Files are only shared with a client when you mark them client-visible.

Setting up your workspace

Why does Rexli ask what kind of business I run?
Only to recommend a starting setup: which areas of the workspace are switched on and which dashboard cards you see. You can change all of it at any time from Settings, and it never limits what you can use.
What if my business doesn't match any of the options?
Choose "Something else", describe what you do in your own words, and pick the areas you want. Clients, scheduling, tasks, files, forms, messaging and reports work for any client-based service business.
Can I turn areas on or off later?
Yes. Settings → Customize workspace lets you switch areas on or off and reorder your dashboard. Switching an area off only hides it. Nothing is deleted, and turning it back on restores everything exactly as it was.
Do specialised areas exist for my industry?
Rexli includes specialised areas for social content, creative projects, training programs, and coaching or consulting engagements. Everything else runs on the shared essentials, which is enough for most service businesses.
